That is the case WellnessDesk is built for. Setting up costs nothing and there is no card to enter, so your site, booking page and client portal can be live and waiting before your first referral arrives. Until someone pays you online, you pay us nothing.

We charge a flat 8% on sessions your clients pay for online, plus Stripe's own processing fee — Stripe currently publishes 2.9% + $0.30 per charge in the US and 1.5% + €0.25 for EEA cards in Spain, and we add nothing on top of it. Sessions paid in cash, by bank transfer or by Bizum cost nothing. There is no subscription and no setup fee.

It depends entirely on how much of your income comes through the platform. On a quiet month our 8% is a fraction of a subscription, and on a month with no online payments it is zero. Once you are taking a high volume of card payments every month, a flat subscription can work out cheaper — we would rather tell you that than have you work it out later. There is no contract either way.

Then those sessions cost you nothing. Our fee only applies to money that moves through the platform. You can still use the booking calendar, the client portal, reminders and your website for those clients at no charge, which is how a lot of practices in Spain and the rest of the EU end up running.

WellnessDesk includes health record storage as part of full practice management. We do not currently offer a Business Associate Agreement (BAA) or claim HIPAA compliance. Contact our team to discuss your practice’s requirements.

Client data is encrypted in transit and at rest, and each practice's data is isolated from every other practice on the platform. We never sell or share it, we do not use it to train anything, and you can export or delete it from your settings. You can store health records alongside client details, bookings, payments, messages and resources as part of managing your practice.

No. You can point your existing site at your WellnessDesk booking page and change nothing else, then move the rest across whenever it suits you. Practitioners often start with booking and payments alone and publish the website months later, or never.

Clients pay when they book. You set a free-cancellation window in your booking settings, and clients see it before they book. If a client cancels inside that window the session fee is kept rather than refunded — automatically, so you are not the one raising it. If you cancel, the client is refunded in full. Missed appointments are not a rare problem in this field: across 38,945 mental health appointments at one US Veterans Affairs medical centre, no-show rates ran 18 to 22 percent, against 10 to 12 percent in primary care (Teo et al., Journal of General Internal Medicine, 2023).

Yes. Point your domain at WellnessDesk and clients only ever see your brand — no platform name in the address bar. Custom domain setup is included at no cost.

Clients pay by card at the time of booking. Funds go directly to your own Stripe account on your own payout schedule. We never hold your money, and you can see every transaction in Stripe as well as in your dashboard.

Clients can book without creating an account. If they want the client portal — upcoming sessions, messages, shared resources, exercises — they sign in with Google, so there is no password for them to lose.

Leave from your settings whenever you like. No contract, no notice period, no cancellation fee. Your data stays available for 30 days so you can export it, and your domain is yours to point elsewhere.
